If you've spent any time in the Google Admin Console, you've seen the concept of Organizational Units (OUs). They might seem like just a way to sort people into categories, but at K12 Montana, we consider OU structure to be the backbone of how a district's Google Workspace is governed - and getting it wrong causes real problems.
Here's a plain-language guide to what OUs are and why they matter.
What Is an Organizational Unit?
An OU is essentially a bucket that groups users together. Your district might have OUs like: Staff, Students, Teachers, Admins, and Substitutes. Each OU can have different settings applied to it - different apps installed, different access levels, different security policies.
Why OUs Matter
Without OUs, you'd have to apply settings to every user individually, which doesn't scale. With OUs, you can say "everyone in the Teachers OU gets Google Classroom forced onto their Chromebook" or "everyone in the Students OU has YouTube restricted during school hours" - and it applies automatically to every person in that group.
Common School OU Structures
A typical Montana K-12 district might organize OUs like this:
* Staff (sub-OUs for Teachers, Office Staff, Custodial)
* Students (sub-OUs by grade level or building)
* Administrators
* MFA Enabled but Not Enforced (a temporary holding OU for 2FA setup)
* Suspended/Archived
Moving Users Between OUs
This is a routine task: moving a new hire from a generic OU to their proper one, moving a departing staff member to the Suspended OU, temporarily moving someone to the MFA grace period OU. It's done in Google Admin under Directory, then Users, by hovering over the user and selecting Change organizational unit.
Getting the OU structure wrong causes real problems - incorrect app access, wrong security policies, compliance gaps. Getting it right means your district runs more smoothly and securely.
