Google Calendar for School Staff: A K12 Montana Quick-Start Guide

Coordinating schedules across a school building is no small feat. K12 Montana supports Google Calendar as part of the Google Workspace environment we manage for Montana schools - and when it's set up right, it becomes the heartbeat of your school's daily operations.

Here's a quick-start guide to the most useful things Google Calendar can do for school staff.

Creating a New Calendar

You can have multiple calendars under the same Google account - one for personal appointments, one for your classroom schedule, one shared with your whole team. To create a new one:

Sign into your Google Account and open Google Calendar from the app grid. On the left sidebar, click the + next to Other calendars and select Create new calendar. Give it a name, add a description if you want, and click Create.

Sharing Your Calendar

Hover over the calendar you just created (or any existing calendar) in the left sidebar until you see three dots. Click them and select Settings and sharing.

To share with everyone in your organization: under Access permissions, check the box for "Make available for [your organization]." Then let people know the calendar exists and they can subscribe.

To share with a specific person: under Share with specific people or groups, click Add People. Add their email, choose their permission level (view only, edit, etc.), and click Send.

Creating Events

Click on any date or time slot to create a new event. Add a title, time, location, and description. You can also invite other people by adding their email addresses under Guests.

Shared calendars reduce the "I didn't know about that meeting" problem dramatically. Front office calendars, gym schedules, lab reservation calendars - all visible to the right people, all updated in real time.
