How K12 Montana Schools Set Up Outlook for a New Staff Email Address

Staff member just got a new email address - maybe from a name change, a migration, or a new role? K12 Montana manages email migrations and account changes for Montana schools regularly, and getting Outlook pointed to the new address is a quick process. But there's an important first step that gets skipped too often.

Before You Do Anything: Access Old Email Through a Web Browser

First, make sure the staff member can still access their old emails through a browser by going to outlook.live.com and logging in with their old credentials. This is important - once you update the computer profile, old emails on the computer may not be accessible the same way.

If this is a migration, remind the staff member not to send new emails from the old account.

Updating the Outlook Profile on Their Computer

Open the Outlook application. Go to File, then Account Settings, then Manage Profiles.

Find the current profile (tied to the old email address). Select it and click Remove. Yes, this removes the profile - but the data still exists online and in the web browser. This step prevents confusion between old and new credentials.

Click New to create a fresh profile. Sign in using the new email address. Use the temporary password if this is a migration from another organization, or the current password if it's just an address change within the same organization.

Follow any sign-in prompts, including 2FA (text or phone call). Once logged in successfully, restart the computer to clear any cached login data.

If It Was a Temporary Password

Go to account.microsoft.com to change the temporary password to something permanent.
