This is one of the most common - and most costly - mistakes K12 Montana sees in school districts: deleting a Google account for a departing employee and losing all their archived email in the process.
Here's what actually happens, and how to avoid it.
The Short Version
When you delete a user account in Google Workspace, Google Vault purges all data associated with that account. Even if you had a retention policy configured, even if that data was supposed to be kept for three more years - it's gone.
The 20-Day Window
There is a small grace period. For about 20 days after deletion, Google retains the account data in a recoverable state, and you can transfer certain things - Google Docs, Calendar items - to a new owner. But email data is not easily recoverable after deletion.
The Right Process for Departing Staff
When a staff member leaves, the right move is to suspend the account, not delete it. Suspending blocks them from signing in and stops new email from being delivered, but preserves all data in Vault.
Move the suspended account to an Archived/Suspended organizational unit in Google Admin to keep things organized. The account will continue to consume a license during this period - yes, there's a cost - but protecting your records is worth it.
Only delete the account once the data has aged out of your retention window.
Building This Into Your Offboarding Process
The cleanest way to handle this is to build "suspend, don't delete" into your formal HR offboarding checklist. When someone gives notice or is terminated, the tech checklist step is: suspend account and move to Archived OU. Set a calendar reminder for when the retention period expires to revisit deletion.
